NoteSense is an AI scribe built specifically for physiotherapy clinics.

It listens to your patient consultations and automatically creates your treatment notes and referral letters after the session. You can also generate a full patient summary at any time, bringing together the relevant information from their care.

Once you have reviewed and approved your notes, they are saved directly into Cliniko as a draft, ready for you to check and finalise.

Alongside the AI scribe, NoteSense also includes NoteSense Perform, which tracks key clinic KPIs, and NoteSense Coach, which provides insights into clinician communication and performance.

NoteSense will generally produce your treatment notes and referral letter within 60 seconds of your session finishing.

This can occasionally take a little longer if you have a poor internet connection, but with a stable connection, your notes should be ready to review within around a minute.

For the most accurate notes, we recommend recording the full session and then spending around 20 to 30 seconds at the end “speaking in” anything NoteSense couldn’t see, such as specific assessment findings, treatment techniques or exercises you performed.

When used this way, the level of detail it captures is exceptionally high, and in our experience the finished notes can be as close to 100% accurate as you’re likely to get from an AI scribe.

Yes. NoteSense comes with default templates for both treatment notes and referral letters, so you can start using it straight away.

However, you can completely customise these templates to suit the way you and your clinic work. You can edit our existing templates or create your own from scratch.

You can also create different templates for different types of sessions. For example, you might have separate templates for initial consultations and follow up appointments, joint specific templates, or completely different templates for specialist services.

That means NoteSense can adapt to your clinic rather than your clinic having to adapt to NoteSense.

Yes. NoteSense integrates directly with Cliniko and the whole setup process should take less than two minutes.

All you need to do is generate an API key inside Cliniko and connect it to NoteSense. Once connected, your patient diary will automatically appear inside NoteSense, ready for you to start using it.

There’s no complicated setup and no need to manually add your patients or appointments.

Currently, NoteSense only integrates with Cliniko, but we have plans to integrate with other practice management systems in the future.

Before recording a session, NoteSense will prompt you to confirm that the patient has given consent. If they don’t consent, NoteSense will not allow the session to be recorded.

It will also remember that decision and automatically block recording the next time that patient attends, unless they subsequently change their mind and consent is updated.

However, you can still use NoteSense to create your notes. At the end of the session, simply talk through the relevant clinical information, assessment findings, treatment and plan. NoteSense will then use what you’ve dictated to generate your treatment notes for you.

So even when a patient doesn’t consent to a full session recording, you can still avoid manually writing your notes and significantly reduce your admin time.

No. NoteSense does not store patient audio recordings, transcripts or treatment notes.

The audio recording is processed within the clinician’s browser memory and is not stored by NoteSense. Audio and transcripts are never saved or made available for anyone to access afterwards.

Your generated treatment notes are displayed for you to review and, if you choose to approve them, can be sent directly to Cliniko as a draft.

Once the session is finished and you have either saved your draft or closed the session, the information is no longer available within NoteSense.

Yes. NoteSense has been built with GDPR and patient data security at the centre of how the platform works.

No clinical data, audio recordings or transcripts are stored on NoteSense servers. Session audio is processed within the clinician’s browser memory, no audio recording is uploaded to our servers, and the transcript is not stored.

We have also invested extensively in specialist GDPR support to ensure our processes, policies and systems are designed to meet UK GDPR requirements.

Ultimately, NoteSense is designed to minimise the amount of patient data it handles and to avoid retaining clinical information within the platform.

NoteSense Perform is an additional feature built to give clinic owners accurate visibility over the key performance indicators that drive private practice performance.

Currently, it tracks Average Patient Visit across your entire clinic and for every individual practitioner, alongside cancellation rate and cancellation rebook rate, with more KPIs planned.

One of the main reasons we built Perform was our own experience running multiple private clinics in the UK. We found that KPI reports generated within practice management systems can sometimes give a misleading picture of what is actually happening in the clinic because of the way the underlying data is calculated.

NoteSense Perform has been specifically designed to calculate these KPIs differently and, most importantly, accurately. We have extensively tested the reports against manual calculations and consistently found them to be extremely accurate.

Coach analyses consultations using structured scorecards to provide insights into areas such as clinician communication, patient engagement and how effectively different parts of the session are being delivered.

It then combines these insights with your KPI data from NoteSense Perform. So, if a practitioner has a lower Average Patient Visit or a higher cancellation rate, Coach can help identify patterns within their consultations that may be contributing to those results.

Rather than simply showing you a number, it helps highlight where an individual practitioner may benefit from additional coaching, training or support.
